TL;DR
- Old leads and handwritten sign-ins are where invalid addresses build up. Check them before the next campaign.
- Bulk-upload your CRM export; use the API to check new leads as they arrive from your site or portal feeds.
- Send to deliverable, remove undeliverable and disposable, retry unknown.
Why real estate lists go bad
An agent's list grows over years: open-house sign-in sheets, portal and website enquiries, referrals, past clients, prospecting lists. Most of the value sits in follow-up weeks or months after the first contact, and that is exactly when addresses have gone stale. People change providers and jobs. Handwritten entries get misread. Some visitors give a throwaway address on purpose.
We don't have real estate bounce statistics and won't invent any. What is certain is that mailbox providers and mailing tools penalise senders that keep mailing addresses that don't exist, and a brokerage's shared domain can be hurt by one agent's bad list. See how many bounces burn a domain.
A workflow for agents and teams
- Export your CRM or spreadsheet as CSV before a newsletter, market-update or listing campaign.
- Upload it to Mail Exchange. Duplicates (common when one lead came in from several sources) are removed and refunded.
- Import only the clean rows into your email tool. Keep undeliverable addresses out, and note them in the CRM so you ask for a new one next time you talk.
- Check new leads on arrival if you can call the API from your lead form or portal feed, and ask the visitor to correct a bad address while you still have them. It is live, with keys on request via contact. There are no CRM connectors yet.
Which results to act on
| Result | What to do |
|---|---|
| Deliverable | Send. |
| Risky: catch-all | Common on brokerage and company domains. Can't be confirmed; send with care or separately. |
| Risky: role | info@ or office@ reach a team. Fine for an office contact, not for a personal follow-up. |
| Risky: disposable | Remove. |
| Undeliverable | Remove, and get a new address by phone if the lead is warm. |
| Unknown | Retry later. Refunded. |
